Privacy Policy

This page is written for VayoMed customers, website visitors, and users who connect third-party services such as LinkedIn to VayoMed.

1. What this policy covers

This Privacy Policy explains how VayoMed collects, uses, stores, and shares information when you visit vayomed.com, use our dashboard, request reports, receive communications from us, or connect third-party services such as LinkedIn for social content drafting, scheduling, publishing, and reporting.

VayoMed provides commercialization, content, visibility, and sales intelligence services for life sciences, medical device, diagnostics, and healthcare product companies. Our services are business-facing and are not intended for the submission or processing of patient records, protected health information, or sensitive medical information unless a separate written agreement expressly covers that use.

2. Information we collect

Account and contact information: name, business email address, company name, role, login information, and dashboard access settings.

Customer and project information: company websites, product categories, target markets, content briefs, brand guidance, deliverables, approvals, comments, and related business materials you provide to us.

Website and usage information: pages viewed, referring pages, device and browser information, approximate location derived from IP address, timestamps, feature usage, and other analytics data used to operate and improve our services.

Communications: messages submitted through forms, email replies, meeting requests, support requests, and related metadata.

Generated and uploaded content: draft posts, images, captions, schedules, reports, publication logs, and files you upload or ask us to create on your behalf.

3. LinkedIn and social publishing integrations

If you choose to connect a LinkedIn account or LinkedIn Company Page, we use LinkedIn's official OAuth and API flows to request only the permissions needed for the connected feature. Depending on the feature you enable, this may include your LinkedIn profile identifier, name, profile image, email address, organization or Company Page identifiers, page role or access status, draft or scheduled post content, uploaded media references, published post identifiers, post URLs, and engagement or performance data for content published through or connected to VayoMed.

We use LinkedIn data to authenticate the connected user, verify that the user is authorized to manage a Company Page, draft and schedule content inside VayoMed, publish approved content to the selected LinkedIn profile or Company Page, display publishing status and history, and provide reporting for authorized content.

We do not collect or store your LinkedIn password. We do not use scraping, crawling, browser automation, or unofficial LinkedIn endpoints to collect LinkedIn data. We do not read LinkedIn private messages, export your connections, send messages to your network, or build third-party lead lists from your LinkedIn account.

You may revoke VayoMed's LinkedIn access through your LinkedIn account settings or by contacting us at info@vayomed.com. Revoking access may stop future publishing and reporting features. You may also ask us to delete LinkedIn data associated with your VayoMed account, subject to legal, security, audit, and backup retention requirements.

4. How we use information

To provide and operate our services, including dashboard access, client deliverables, social content workflows, reports, notifications, and support.

To draft, review, schedule, publish, and monitor content that you authorize us to prepare or publish.

To personalize your account, maintain company-level access controls, and show content relevant to your company or workspace.

To communicate with you about requests, reports, deliverables, security notices, product updates, and service-related messages.

To improve our website, analytics, content engine, sales intelligence, and operational workflows.

To protect the security, integrity, and availability of our services, prevent abuse, investigate errors, and comply with legal or contractual obligations.

5. Legal bases and business purposes

Where applicable privacy laws require a legal basis, we process information to perform a contract with you or your company, based on your consent, for our legitimate business interests in operating and improving our services, and to comply with legal obligations.

For business users in jurisdictions such as California, we use information for business purposes such as providing services, security, analytics, customer support, internal operations, and authorized marketing communications. We do not sell personal information. We also do not share personal information for cross-context behavioral advertising as that term is used in California privacy law.

6. How we share information

Service providers: we may share information with vendors that help us host our website, operate authentication, store files, send email, analyze website usage, run AI-assisted content workflows, and provide data or sales intelligence services.

Connected platforms: when you authorize a LinkedIn or other social integration, we share the approved content, media, account identifiers, and related publishing instructions with that platform so the requested action can be completed.

Client-authorized recipients: we may share deliverables, reports, or content with people your company authorizes to access the relevant workspace or project.

Legal and safety: we may disclose information if required by law, legal process, or a good-faith belief that disclosure is necessary to protect rights, safety, security, or prevent abuse.

Business transfers: if VayoMed is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to appropriate protections.

7. Third-party services

Our services may use infrastructure, analytics, authentication, email, file storage, AI, data, and social platform providers. Examples may include hosting and storage providers, analytics tools, authentication providers, email delivery services, AI model providers, data vendors, and social media APIs such as LinkedIn.

Third-party services process information under their own terms and privacy policies when you interact with them directly or authorize a connection. LinkedIn data connected to VayoMed is also subject to LinkedIn's own user agreement, privacy policy, and developer platform terms.

8. Cookies and analytics

We use cookies, local storage, pixels, and similar technologies to keep users signed in, remember preferences, measure website performance, understand product usage, and improve our services.

You can control cookies through your browser settings. Blocking some cookies may affect sign-in, dashboard functionality, analytics accuracy, or other service features.

9. Data retention

We retain information for as long as needed to provide services, maintain business records, comply with legal obligations, resolve disputes, enforce agreements, preserve security, and support audit or backup processes.

Drafts, scheduled posts, publication records, reports, uploaded files, and client deliverables may be retained for operational continuity unless your company requests deletion and deletion is permitted by applicable obligations.

10. Security

We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, loss, misuse, alteration, and disclosure.

No online service is completely secure. You are responsible for protecting your account credentials, limiting workspace access to authorized users, and promptly notifying us of suspected unauthorized access.

11. International transfers

VayoMed and our service providers may process information in the United States and other countries where we or our providers operate. These locations may have data protection laws that differ from those in your jurisdiction.

Where required, we use appropriate safeguards for international transfers, such as contractual protections or other lawful transfer mechanisms.

12. Your choices and rights

Depending on your location, you may have rights to request access, correction, deletion, portability, restriction, objection, or withdrawal of consent for certain personal information.

You may request changes to your VayoMed account data, unsubscribe from non-essential marketing emails, revoke connected social integrations, or ask us to delete information associated with your account by contacting info@vayomed.com.

We may need to verify your identity and account authority before acting on a request. Some information may be retained where required for legal, security, fraud prevention, billing, audit, backup, or legitimate business reasons.

13. Children's privacy

VayoMed services are intended for business users and are not directed to children. We do not knowingly collect personal information from children under 16.

14. Changes to this policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the effective date above and provide additional notice where required by law or where the change materially affects how we use personal information.
